Privacy Policy

Effective date: April 01, 2026
Last updated: September 23, 2026

Cognardo (“Cognardo,” “we,” “us,” or “our”) respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you:

  • visit or use our website at cognardo.com and any related pages, subdomains, or online properties we operate;
  • sign up for our newsletter, waitlists, downloads, guides, or other resources;
  • contact us;
  • interact with our products, tools, or services, including products we offer under the Cognardo ecosystem, such as Cognardo Workbench, where this Privacy Policy is presented or linked.

If a specific product or service has its own privacy policy or supplemental notice, that product-specific notice will apply in addition to, or instead of, this Privacy Policy where stated.

1. Who we are

Controller / Business name: Cognardo
Trading name: Cognardo
Email: contact@cognardo.com
Country of establishment: India

If you are in the UK or EEA and we are required to appoint a representative or Data Protection Officer, their details are:

DPO / privacy contact: Raven Black

2. Information we collect

The personal information we collect depends on how you interact with Cognardo.

A. Information you provide directly

We may collect information you provide to us, such as:

  • your email address, when you subscribe to the newsletter, request a free resource, or contact us;
  • the content of any message you send us through the contact form;
  • which resource you asked for, and whether you are subscribed to the newsletter.

That is all our forms ask for. We do not run user accounts on this website and we do not take payments here, so we collect no passwords, billing details, or payment information.

B. Information collected automatically

When you visit our website or use our services, we may automatically collect certain technical and usage information, such as:

  • IP address;
  • browser type and version;
  • device type and operating system;
  • referral URL;
  • pages viewed and actions taken;
  • dates, times, and session information;
  • approximate location based on IP;
  • cookies and similar technologies data.

C. Information from third parties

We may receive information from third parties such as:

  • our analytics providers;
  • our email and CRM platform.

D. Product and service data

If you use a Cognardo product or service, we may collect data necessary to provide, secure, maintain, and improve that product or service. Depending on the product, this may include:

  • account and profile information;
  • product usage data;
  • settings and preferences;
  • support requests;
  • technical logs and diagnostics;
  • content you choose to save, upload, sync, or process through the product, to the extent needed to provide the relevant functionality.

If a product offers local-only or cloud-enabled modes, the information processed may differ depending on the mode you choose.

3. How we use your information

We may use personal information for the following purposes:

  • to provide, operate, maintain, and improve Cognardo and our products and services;
  • to respond to inquiries, requests, and support messages;
  • to send newsletters, updates, product information, and marketing communications, where permitted by law;
  • to manage subscriptions, downloads, waitlists, and lead capture;
  • to personalize content, recommendations, and user experience;
  • to analyze usage, performance, and trends;
  • to protect against fraud, abuse, security incidents, and misuse;
  • to enforce our terms, policies, and legal rights;
  • to comply with legal obligations;
  • to develop, test, and improve our products, services, and operations.

Where we use analytics or product-improvement data, we aim to use aggregated, de-identified, or minimized data where reasonably possible.

4. Legal bases for processing (EEA/UK only)

If you are in the EEA or UK, we process personal data only where we have a valid legal basis, including:

  • Consent — for example, where you opt into marketing emails or certain cookies;
  • Contract — where processing is necessary to provide a product, service, or requested transaction;
  • Legitimate interests — such as operating and improving our business, securing our services, and communicating about relevant offerings, provided those interests are not overridden by your rights;
  • Legal obligation — where we must comply with applicable law.

5. Cookies and similar technologies

We keep this deliberately small, so it is worth being specific. This website sets no cookies at all unless you agree to analytics.

Analytics cookies — only with your consent

If you agree, Google Analytics sets two first-party cookies, _ga and _ga_0CXXK5Z5ND. They tell one browser apart from another so we can count visits and see which guides and resources people actually use. They last up to two years.

Until you agree, they are not set. Where the law requires us to ask, we ask before anything is stored on your device, and analytics runs in a restricted mode that writes no cookies. If you decline, it stays in that mode.

Measurement that needs no cookies

We use Cloudflare Web Analytics for basic traffic and page speed figures. It sets no cookies, stores nothing on your device, and does not fingerprint you, so it runs for every visitor and needs no consent.

Remembering your choice

Your decision is stored in your browser’s local storage under cognardo.consent so we do not ask on every visit. It exists only to honour the choice you made, is never sent to us, and is not used for anything else. We ask again after twelve months.

Keeping forms free of spam

Our contact, newsletter, and download forms use Cloudflare Turnstile to tell people apart from automated abuse. It may store information on your device for that purpose alone.

Changing your mind

Use the Cookie settings link in the footer of any page to change or withdraw your choice whenever you like. Withdrawing is as easy as agreeing. You can also control cookies through your browser settings.

We do not use advertising or retargeting cookies, because we do not run ads.

6. Marketing communications

If you subscribe to our newsletter, downloads, waitlists, or other communications, we may send you emails about:

  • guides, resources, and new content;
  • product updates;
  • launches and announcements;
  • relevant offers or promotions;
  • ecosystem updates related to Cognardo.

You can unsubscribe at any time by using the unsubscribe link in our emails or by contacting us at contact@cognardo.com.

We may use email service providers and CRM platforms to manage email subscriptions, automation, and contact records.

7. How we share information

We do not sell your personal information, and we do not share it for advertising.

We may share personal information with:

  • service providers and processors that help us operate our website, products, and business;
  • hosting, infrastructure, and security providers;
  • email, CRM, and communication providers;
  • analytics providers;
  • payment processors;
  • customer support tools;
  • legal, accounting, and professional advisors;
  • authorities, regulators, or law enforcement where required by law;
  • another entity in connection with a merger, acquisition, financing, asset sale, or similar transaction.

We require service providers to handle personal information appropriately and only for authorized purposes.

Current categories of service providers may include

  • website hosting and infrastructure: Cloudflare
  • CMS/content infrastructure: Sanity
  • email and CRM: Brevo
  • analytics: Google Analytics and Cloudflare Web Analytics
  • form spam protection: Cloudflare Turnstile

8. International data transfers

Your information may be transferred to, stored in, or processed in countries other than your own.

If you are in the EEA, UK, or other jurisdictions with transfer restrictions, we will take appropriate steps to protect your information when transferring it internationally, including by relying on appropriate safeguards where required, such as Standard Contractual Clauses or other lawful transfer mechanisms. The European Commission recognizes Standard Contractual Clauses as a transfer mechanism used to address GDPR requirements for international transfers.

9. Data retention

We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide our services;
  • maintain business records;
  • resolve disputes;
  • enforce agreements;
  • comply with legal obligations.

Retention periods may vary depending on the type of information and the purpose for which it was collected.

For example:

  • contact form submissions: 12 months
  • newsletter/contact records: until you unsubscribe or request deletion, subject to legal and operational needs
  • server logs and diagnostics: 180 days

10. Your privacy rights

Depending on where you live, you may have rights regarding your personal information.

EEA / UK rights

If you are in the EEA or UK, you may have the right to:

  • access your personal data;

11. Notice for California residents

If the California Consumer Privacy Act / California Privacy Rights Act applies to our processing, we provide the following summary.

Categories of personal information we may collect

We may collect categories such as:

  • identifiers (for example, name, email address, IP address);
  • internet or other electronic network activity information;
  • geolocation data derived from IP address;
  • professional or employment-related information if you provide it;

Sensitive personal information

We do not use or disclose sensitive personal information for purposes beyond those reasonably necessary to provide requested services, unless otherwise disclosed.

Sale / sharing

We do not sell or share personal information as those terms are defined under California law.

12. Data security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If you provide or store content through our products, we may also use measures such as:

  • encryption in transit and/or at rest;
  • access controls;
  • data minimization;
  • sanitization or redaction processes for certain sensitive fields, where applicable.

The FTC emphasizes that businesses should take reasonable steps to secure personal information and avoid deceptive practices around privacy and security representations.

13. Children’s privacy

Cognardo is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

If you believe a child has provided us with personal information, contact us at contact@cognardo.com, and we will take reasonable steps to investigate and, where appropriate, delete the information.

14. Third-party links and services

Our website and services may contain links to third-party websites, tools, embeds, or platforms. We are not responsible for the privacy practices of those third parties.

We encourage you to review the privacy policies of any third-party services you access.

15. Product-specific and service-specific terms

Some Cognardo products or services may involve different data flows than the main website.

For example, a product may offer:

  • local-only storage options;
  • cloud sync options;
  • product analytics;
  • content processing features;
  • account deletion workflows;
  • support-specific retention rules.

Where a product has materially different data practices, we may provide an additional privacy notice or product-specific privacy policy.

Cognardo Workbench is one of those products. It is a separate application with its own privacy policy and terms, which govern how it handles your data. You can read them at workbench.cognardo.com/legal.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we will post the updated version here and update the “Last updated” date above. Where required by law, we will provide additional notice or obtain consent.
