The problem
Why AI needs business context.
When you ask an AI to write a landing page, create a marketing strategy, analyse competitors or write sales copy, it only knows what you put in that conversation, plus whatever general information it happens to have.
So you explain the same things again. And again. The output is inconsistent because the input was.
“We’re a B2B SaaS company…”
“Our customers are…”
“Don’t call us an AI agent…”
“That feature isn’t available yet…”
“Our tone should be…”
Definition
What is AI business context?
AI business context is a structured description of your company that gives an AI system the information and boundaries it needs to perform business-specific tasks.
It can include products, customers, problems, positioning, competitors, differentiators, brand voice, approved claims, restrictions, goals and existing resources.
What to include
Eleven things AI needs to know about your business.
A simple example
Same prompt. Different information.
Without business context
Write a homepage headline for my AI productivity product.
The AI has to infer almost everything: who it is for, what makes it different, how you want to sound, and what you are allowed to claim.
With business context
- Business
- AI productivity software
- Audience
- Freelancers and small teams
- Problem
- Turning general-purpose AI into repeatable work
- Positioning
- Practical AI tools, not technical AI infrastructure
- Tone
- Clear, direct, practical
- Avoid
- Overhyped AI language
- Restriction
- Don’t describe planned functionality as available today
The prompt hasn’t become more sophisticated. The AI simply has better information to work from.
How to build it
Eight steps, once.
Most of this is information you already have. The work is writing it down in one place, in a shape AI can actually use.
- 01
Describe the business
What the company does, who it serves, its business model, market and current priorities.
- 02
Document products and customers
Each important product or service, and the customer segments it was built for.
- 03
Capture customer problems
Real needs, desired outcomes, objections, the alternatives people consider, and what triggers a purchase.
- 04
Define positioning
How you want the business understood, and how that differs from the competing alternatives.
- 05
Define communication rules
Brand voice, vocabulary preferences, messaging style — and examples, which do more work than adjectives.
- 06
Establish factual boundaries
Approved claims and their evidence, product limitations, confidentiality rules, and the things AI should never invent.
- 07
Add current business context
Goals, marketing channels and existing resources relevant to the work you are doing now.
- 08
Generate reusable context
Combine it into one structured document that travels with every future AI task.
The important part
Tell AI what it doesn’t know.
This is what separates real business context from a company-profile prompt. A useful context document contains boundaries, not just facts.
Facts tell AI what is true. Boundaries tell it what to do when something isn’tin the context — which is the moment most AI output quietly goes wrong.
Instructions worth including
Do not describe planned products as currently available.
Do not invent customer numbers, performance statistics, partnerships, testimonials or product capabilities.
If information required for an important claim is missing, identify the missing information instead of assuming it.
Preserve the qualifications attached to approved claims.
Do not treat competitor assumptions as established facts.
How to use it
Context + task + specifics.
Business context does not replace good task instructions. It means your instructions no longer have to carry your company description as well.
Business context
Who you are
Your reusable company context, pasted in once per project or conversation.
Task
What you want done
"Create a landing page for Product X."
Task-specific information
The details for this job
Campaign objective, the offer, target segment, page requirements.
Business context tells AI who you are. Your prompt tells AI what you want it to do.
The workbook
Build your business context once. Reuse it across every AI task.
Everything above is on this page for free. The workbook does the part a webpage can’t: collect it, structure it, and assemble it into context you can paste.

The generator
What the AI Context Generator produces.
The last sheet reads everything you filled in and assembles it into one structured block — your business facts, then the operating instructions that keep AI inside them.
# BUSINESS CONTEXT ## Business Business Name: … Description: … Business Model: … Who We Serve: … Current Priorities: … ## Positioning Market / Category: … Positioning Statement: … Primary Value Proposition: … What We Are Not: … ## Brand Voice Desired Tone: … Words / Phrases We Use: … Words / Phrases We Avoid: … # AI OPERATING INSTRUCTIONS Use the business context above … when completing tasks for this company. Do not invent missing business information. Do not present assumptions as established facts. Follow all approved claims and restrictions. When information is insufficient for an important claim, identify the missing information rather than filling the gap with an assumption.
Where it helps
One context, most of your AI work.
Marketing & content
Blogs, landing pages, emails, social posts and campaigns.
Research & strategy
Market research, competitor analysis and planning.
Sales
Outreach, proposals and sales enablement.
Product
Ideation, positioning and documentation.
Customer support
Responses and internal knowledge work.
AI workflows
Reusable context for longer workflows and automations.
Maintenance
Keep your AI context updated.
Stale context is worse than no context: it produces confident, on-brand output about a version of your business that no longer exists.
Treat your AI business context as a living business asset, not a prompt you write once and forget.
Revisit it when
Products or features change
Positioning changes
Your ICP changes
Pricing or business model changes
Claims become outdated
New competitors become relevant
Business priorities shift
Brand guidelines change
Keep it where you work
Reuse your context without re-pasting it.
Once your business context exists, it has to travel with every task. Workbench is our browser extension for exactly that — keep context and prompts organised, fill the variables in a form, and run them without leaving ChatGPT, Claude or Gemini.
FAQ
Questions, answered.
What is an AI business context template?+
A structured way to document your company so an AI system has the information and boundaries it needs for business-specific work — products, customers, problems, positioning, competitors, differentiators, brand voice, approved claims, restrictions, goals and existing assets. You fill it in once and reuse it.
Why does ChatGPT need business context?+
Because in any given conversation it only knows what you have told it, plus whatever general information it has. Without context it has to infer your audience, positioning and tone — so you end up re-explaining the same five things every session and still getting inconsistent output.
Can I use the same business context with ChatGPT, Claude and Gemini?+
Yes. The generated context is plain structured text, not a tool-specific format. Paste it into a ChatGPT project, a Claude project, a Gemini gem, or just at the top of a conversation.
How much business information should I give AI?+
Enough for the task, and only what you know to be true. Leave unknown fields blank rather than inventing something to fill the gap — an invented fact in your context becomes an invented fact in every output that uses it.
How often should I update my business context?+
Whenever something in it stops being accurate: a product or feature changes, positioning shifts, pricing moves, a claim goes stale, or a new competitor becomes relevant. Treat it as a living business asset, not a prompt you write once and forget.
What’s the difference between business context and a prompt?+
Business context tells AI who you are. Your prompt tells it what you want done. Context does not replace good task instructions — it means your instructions no longer have to carry your company description as well.
Should I include confidential business information?+
Think carefully before you do. Check your AI provider’s data-handling and training policies, and your own organisation’s rules on what may be entered into third-party tools. Much of what makes context useful — positioning, voice, approved claims — is not confidential. Where sensitive detail is genuinely needed, confirm it is permitted first.
